VVSD is looking for an Accounting Specialist.  The Accounting Specialist is primarily responsible for processing disbursements, payroll billing and other transactions for the Veterans Shelter Program and records rental revenue and receivables.   The employee is responsible for developing, maintaining and updating the records with minimal supervision and direction.  The position is also responsible for working with the Controller and CFO to verify accuracies of general ledger, accounting recording and files.

  • • Process Check Requests of the Veterans Shelter – verify allowable costs and budget, accuracy of amount, invoice/bill not paid prior and approver’s signature
  • • Work with Veterans Shelter Program Lead Coordinator to ensure accuracy expenses and documentations
  • • Reconcile Veterans Shelter Program payments and resolve invoice discrepancies
  • Input new vendors in the system and verify them through the System for Award Management (SAM)
  • • Maintain Veterans Shelter Program AP documentation, W-9’s and vendor files
  • • Scan and file shelter AP documents, maintain and follow-up open item lists
  • • Review/Edit Shelter Timesheet, enter time for non-EWS user and review/edit leave, benefits and payroll deductions, prior to processing of payroll
  • • Prepare and maintain bi-weekly shelter payroll allocation and distribution report
  • • Maintain accurate and orderly shelter payroll records
  • •  Transfer payroll to general ledger bi-weekly, after Controller/CFO’s approval of labor distribution
  • •  Prepare Veterans Shelter Program billing and documentations, monthly
  • •  Responsible to any inquiries of SDHC concerning claim issues
  • •  Prepare SDHC billing and payment entries
  • •  Scan and file billing and other related documents
  • •  Prepare monthly bank reconciliations
  • • Records Rent Receivables on a monthly basis
  • •  Records payment on rents on a monthly basis
  • •  Update Rent records as needed
  • •  Prepare monthly Rent Receivable report to the CFO/COO and VIT Program director
  • •  Prepare any necessary supporting schedules and/ or account analysis as assigned by the Controller/CFO
  • •  Create journal entries as needed or as assigned by the Controller/CFO
  • •  Perform other duties as assigned by Controller/CFO

• At least 1 year accounting work experience or some college course in accounting

• Familiarity with bookkeeping and basic accounting procedure

• Experience working on a computer workstation

• Experience with Microsoft office products including Excel, Word, Outlook and various accounting software

• Experience with a ten-key calculator by touch

• Very effective organizational skills

• Excellent interpersonal and team building skills

• Ability to work under pressure and time constraints while maintaining a positive attitude

• Highest attention to details and level of accuracy

• Must have own transportation, valid driver’s license, proof of car insurance and must be bondable
